This matrix outlines the responsibilities of various departments involved in ensuring a suitable work-from-home (WFH) environment. Each department plays a role in providing resources, support, and guidance to create a productive and secure remote work environment.

Hiring and onboarding processes adapted for remote work.
Conduct virtual interviews and assessments.

Communicate WFH expectations and policies to new hires.

Request number of rooms in house, and number of people living there, and present during shift.

Request photos of work room, table and chair.

Load interview notes for WFH and photos in Zoho People for the deployer to validate.
Account Management (AM)
Client relationship management and employee communication in a remote setting.

Workflow Continuity, productivity tools, and performance tracking
Set up virtual communication channels for client with staff, and with AM interactions.

Set up productivity tracking tools.

Daily check monitoring system productivity reports for late start, short shifts, and low production. Address issues timely with Client Staff.

Maintain regular employee updates/check-ins, feedback issues to client and resolve/escalate.

Ensure remote work does not impact employee deliverables and ensures client satisfaction.

Ensure timely response to Boomering setup and cyber security requests.

Adjust KPIs to reflect remote work conditions.
Human Resources (HR)
Policies, employee well-being, and overall WFH guidelines

Ensuring compliance with labor laws, data protection and contractual obligations.

Home workspace safety standards and ergonomic support
Develop and communicate WFH policies.

Conduct orientation about the policies.

Conduct Employee Satisfaction Surveys.

Review policies for legal and regulatory compliance.

Ensure adherence to data privacy laws.

Train employees on remote work compliance.

Provide guidance on ergonomic practices.

Educate employees on maintaining safe homework spaces.

Conduct annual or bi-annual employee mental health/stress interview.
Infortmation Technology (IT)
Technical support, security and remote infrastructure
Set up equipment as per client's requirements.

Set up VPN and remote access/active directory.

Provide cybersecurity protocols - resolve client or employee-owned security issues.

Ensure staff complete Cyber Security tests and training.

Pre-first shift technical support and troubleshoot issues ongoing.
Facilities
Proper deployment of equipment
Ensure that the equipment is delivered safely, perform deployment staff training, and obtain Accountability Form completion and sign-off. Load to Zoho People

Ensure that the work environment/station complies with the requirements. Validate to Zoho People photos and interview checklist loaded by TA.

Escalate issues to AM.
