Policy on Onsite Work for Employees Residing in Pampanga During the Last Working Day
Effective Date: February 1. 2025
Purpose
To ensure a smooth and efficient offboarding process, all employees residing
within Pampanga are required to work onsite during their last day of
employment. This policy aims to facilitate proper clearance and coordination
with all relevant departments, ensuring compliance with company standards and
policies.Scope
This policy applies to all employees residing within Pampanga who are resigning
or being separated from the company.Policy Statement
- Onsite Requirement Employees residing
in Pampanga are required to report onsite at their designated work location on
their final day of employment. This requirement is mandatory to ensure the
completion of all offboarding activities, including:
- Submission of company assets.
- Completion of clearance forms via
online.
- Coordination of final documentation.
- Roles of the Account Manager
- The Account Manager is responsible for
coordinating the offboarding process and communicating with the concerned
departments to ensure all requirements are completed promptly.
- The Account Manager must inform the
employee of this policy during the resignation notice period and provide
guidance on the onsite clearance procedure.
- Coordination with Concerned Departments
- The Account Manager must notify the
following departments in advance of the employee’s last working day:
- Each department must prepare and
finalize the necessary clearance documentation and any outstanding tasks
involving the employee.
- Exceptions
- Employees who are unable to report
onsite due to valid reasons (e.g., medical conditions or emergencies) must
notify their Account Manager immediately. Approval for exceptions will be
determined by Human Resources in consultation with the Department Manager.
- Employees who are approved to resign
immediately due to valid reasons.
- Compliance: Non-compliance with this policy may
result in delays in the release of final pay, benefits, and other clearance
documents.
Procedure
- Notification: The Account Manager must formally
notify the employee about their obligation to work onsite on their last day
upon submission of resignation letter.
- Checklist Completion: The employee and Account Manager must
complete an offboarding checklist, which includes all items to be cleared and
tasks to be completed.
- Clearance and Turnover
- On the last working day, the employee
must:
- Return all company-issued items (e.g.,
ID with lanyard, HMO card, uniforms, and equipment).
- Settle any outstanding financial
obligations.
- Accomplish the online exit interview
Final Documentation
All required clearance documents must be submitted to Human Resources for verification and processing.
